Setting Up Audits & Visits

Audits involve evaluations to ensure compliance with quality standards, while visits refer to inspections by regulatory authorities or customers to assess safety and quality practices. Both processes play a crucial role in maintaining food safety and consumer confidence. This article shows how to manage Audits & Visits Setup in the Supplier Management system.

1. Audit/Visits Management Set Up
- To set up audits and visits, enter the following details in the "Audits & Visits Setup" window:
- Closure Due Date
- Notify When an Audit/Visit is Nearing Due Date
- Notify When a Non Conformance is Nearing Due Date
- Enter Grade Values
- Once you've entered the relevant details, click Save.
Note: If you've set up notifications, you will recieve a prompt when your due date or non-conformance date is near.
2. Audits/Visits to be Scheduled
- Select the "Audits/Visits to be Scheduled" window to begin scheduling.

To filter, you have two options:
- You can utilise the search function by clicking the magnifying glass .
- Or you can use the A-Z filtering system to access existing ingredients.
- Once you've found the supplier you'd like to schedule an Audit/Visit for, click Actions.
- The table below shows the actions you can take for an Audit/Visit:

| Add Comment |
A pop up window will appear. If you would like to add any comments, enter them in the field and click Confirm. |
| Schedule | A scheduling pop up window will appear. Fill in the following fields:
Click Schedule once finished. |
| Close |
Closes the Audit/Visit with an overview of Supplier details, including the last visit, risk assessment details and the auditor's name. Click OK to close. |
| Self-Audit | If there is a completed self-audit, you'll be able to view it. If no self-audit has been completed, this button will be grey. |
3. Add Audit/Visit Manually
- To manually add in a visit or audit, select the "Add Audit/Visit Manually" button.
- A pop up window will appear, add in all the relevant scheduling details.
- There are two options to choose from once you've filled out all the fields:
- Add to be Scheduled Later - Added to the Audits/Visits to be Scheduled list.
- Schedule - Added to the Audits/Visits Scheduled list.
