Reviewing and Managing Completed Self-Audits
Who is this article for?Users who want to check completed self-audits.
Manufacturer Userpermissions are required.
Completed Self-Audits provide a list of all self-audit questionnaires that have been submitted by your suppliers and approved by your organisation. This guide will show you how to check submitted documents and re-request a self-audit if needed.
1. Completed Self-Audits
To view self-audits:
- Expand the Self-Audits menu.
- Click Completed Self-Audits.
You will see a new page with an overview of all questionnaires completed by your suppliers.
Documents marked in green are resubmitted. Documents marked in black are first time submissions.
By default, the filter will be set to A, displaying all suppliers whose names begin with that letter.
2. Filtering Results
You have access to a several different filtering options to help you find the questionnaires you want to review.
Filter By Levels
To filter by levels, select the icon above the list. You will see a pop-up where you can select up to three levels to filter by.
Clicking Submit will refresh the page and display only the suppliers mapped to these levels.
Filter By Submission
Instead of searching for a supplier, you can select the submission type you want to view instead. Use the dropdown to look up the submission types and select one from the list.
Filter By Document Title
Instead of searching for a supplier, you can select the self-audit document type you want to view instead. Use the dropdown to look up the document and select it from the list.
Filter By Letter
To filter by letter, click any of the letter buttons above the list to refresh the list and view the records whose names begin with that letter.
Each button has a count underneath to indicate how many entries will be listed.
You can also select the All filter to view all completed self-audits.
Looking for suppliers whose name starts with a number?
To view suppliers starting with a numerical or special character, click the Ot filter displayed on the far right of the letter row.
Search Bar
You can also use the search bar above the list to look up the record name but note that you will still need to select one of the letter filters to view the results.
3. Actions
To interact with the audit record, click the icon at the far right of the row to access the actions available for it.
Resubmit
Opens a separate page where you can resend the self-audit request to the supplier. Providing a reason for resubmission is mandatory to help the process along.
Once you've provided a reason and uploaded optional documents, click Resubmit to restart the self-audit process for this questionnaire.
View
Opens a separate page where you can view, download, and resubmit all forms completed by the supplier.
View Report
Opens a separate page where you can view and download all reports for the selected self-audit.
View/Raise NC
Takes you to a page where you can see if non-conformances have been raised against the supplier.
Download
Downloads the self-audit list as a .html file.
Delist
Opens a pop-up where you can confirm the delisting of the self-audit document. Providing a reason for delisting is mandatory.
Once you have entered a reason, click Delist to complete the action.
4. Additional Options
Activity Log for Approvals Without Digital Signature
Clicking this link will generate a pop-up where you can select the date range for a report containing a list of all approvals that haven't received a digital signature.
Your download will start after you click Export.
Attach Documents
Clicking this button will generate a pop-up where you can attach up to five files to the questionnaire. They will be available to download or view until the questionnaire is rejected, at which point they will be removed.
To attach files:
- Select supplier from the first dropdown.
- Select completed document from the second dropdown.
- Click Choose File.
This will open file explorer. - Select the file you want to upload.
- Click Open.
- Repeat steps for other files if needed.
- Click Save.
To view the attached files, hover over or click the View icon.
