Setting Up Non Conformances

A non-conformance refers to a situation or instance where a product, process, or system does not meet the established quality standards, compliance requirements, or safety regulations within the food and beverage industry. Non-conformances are typically identified during quality assurance checks, audits, or inspections, and they require corrective actions to rectify the issues and ensure that products or processes align with the desired quality and compliance standards.

1. Setting Up Non Conformances
- Select the "Non Conformance Set-up" tab under the My Company Information dropdown.
- Choose one of three options for non-conformance setup:
2. Customise Non Conformance References
A non-conformance reference is a unique code or identifier used to track and manage instances of non-compliance or quality issues within a quality management system. It simplifies the documentation and resolution of non-conformance incidents.
- Select the "Customise Non Conformance References" link.
- Select a module from the drop down, in this example it's QA Checks.
- Enter the format (Per Batch of Non Conformances), the default style is numbering.
- You can change the style to Customise which will adjust the format, see below for an example:
- Then, enter the format of individual non-conformances, the same styles apply either Default or Customise.
- Click Save once you're happy with the non-conformance customisation.
Important: You can enter only numeric values into the customisation field.
3. Customise Non Conformance Types

Critical Non-Conformance: These are the most severe issues that pose significant risks to product safety, consumer health, or compliance with regulations. Critical non-conformances may result in product recalls, serious regulatory actions, or a halt in production.

Major Non-Conformance: These are quality issues that, while not as severe as critical ones, still have a substantial impact on product quality and safety. They often require immediate corrective actions to prevent further problems or risks.

Minor Non-Conformance: These issues are less severe and usually relate to minor deviations from quality or procedural standards. While they may not pose immediate health or safety risks, they still require corrective measures to maintain product quality and compliance.
- To view or customise non-conformance types, select the "Customise Non Conformance Types" link.
- The top three types (Critical, Major, and Minor) are default types for all sites.
- To edit or view the non-conformance types, select Edit.
- Select Add New Row at the bottom to add in another non-conformance type. Then fill in the individual fields.
- Once you've selected the Sites, Type and Deadline, click Save.
- You can also Delist a type, which means it will not appear in the main list of customised non-conformance types.
