Using the Finished Product View Log
Who is this article for?
Users managing Finished Products
User access is required.
The View Log is a complete history of every change made to an Ingredient, Packaging item, Work In Progress (WIP), or Finished Product (FP). Think of it as an audit trail — it records what changed, who changed it, and when.
This article shows you how to access and use the View Log.
1. Accessing the View Log
To access the Finished Product View Log:
- Navigate to the Finished Products menu.
- Select Manage Ingredients.
- In the grid, look for the View Log column in the far right of grid.
- Click the eye icon for an ingredient row.
- The View Log will be displayed for the chosen ingredient showing the full history of changes.
The View Log eye icon only becomes active once an edit has been made. Newly added ingredients that have never been edited, will display the eye icon disabled with a strike-through and shows "No log" on hover.
If a Supplier Request has been sent for an ingredient, hovering over the View Log eye icon will display a message confirming the supplier have been notified.
2. Filtering the View Log
To filter the View Log:
- Click the Select View menu dropdown at the top of the page.
- Choose one of the four filter options:
| View | Description |
|---|---|
| Timeline | Filter by date. All edited dates are listed with the most recent at the top. |
| Section | Filter by the section of the questionnaire where changes were made. |
| User | Filter by who made the change. Usernames are listed alphabetically. |
| Version | Filter by document version number. Most recent version is shown at the top. |
3. Understanding the log columns
The log grid shows the following columns depending on which filter view you select:
| Column | Description |
|---|---|
| Date | The date the change was made (DD-MMM-YYYY) |
| Time | The exact time of the change (HH:MM:SS) |
| User | The username of the person who made the change |
| Section Name | The form section where the change occurred |
| Sub Section Name | The sub-section within that section |
| Field Description | The specific question or field that was changed |
| From Value | The old value before the change (shown as — if previously blank) |
| To Value | The new value after the change (shown as — if the answer was removed) |
| Version | Document version number at the time of the edit |
4. How 'From Value' and 'To Value' work
The From Value and To Value columns display information differently depending on the field type:
| Field Type | From Value | To Value |
|---|---|---|
| Text / Number / Date / Single Select | Previous answer, or — if blank | New answer, or — if cleared |
| Attachment added | — | Filename.ext |
| Attachment deleted | Filename.ext | — |
| Multi-select (new options added) | Previous selections (or —) | All currently selected options |
| Multi-select (options removed) | Previously selected options | — |
| Certificate | Each certificate field recorded separately, listed one per row | |
For tables linked to recipes, the row number is shown rather than the ingredient name, which can make it harder to identify exactly which item was changed.
5. What gets recorded in the View Log
The View Log automatically captures:
- Any manual edit made to an Ingredient, Packaging, WIP, or FP questionnaire.
- Ingredients added via Single Completion or Compare screen — all answers populated from a Supplier Spec are recorded.
- Ingredients added using Copy Existing Ingredient — all copied answers are recorded and the View Log icon is enabled.
- 🚩 Red Flag Updates: When a WIP or FP is updated using a Red Flag, all auto-populated fields are recorded and displayed in red text in the log.
- 🔗 Blue Link Updates: When a WIP or FP is updated using a Blue Link, all auto-populated fields are recorded and displayed in blue text in the log.
